Retrieving EBSCO MARC Records

EBSCO partners with the Online Computer Library Center (OCLC) to provide customers with free, customizable MARC records for every EBSCO ebook subscription, such as eHLbc's EBSCO eBooks Nursing Collection.

To retrieve MARC records, eHLbc members will need a Collection Manager account with OCLC's WorldShare Collection Manager Service. eHLbc members do not need to be members of OCLC to create a Collection Manager account. There are no fees associated with the account.

Step 1: Set up a Collection Manager Account

  1. Fill out and submit the Request Form to initiate the set up of your Collection Manager account. You will not need to fill out the OCLC Symbol and Registry ID fields. Skip this step if your institution already has a membership with OCLC.
  2. After submitting the Request Form, you will receive a welcome message from OCLC (this may take several weeks). The welcome message will include a WorldShare URL, a username, a 9-digit "admin" authorization code/number, and your organization's OCLC Symbol.
  3. Follow the instructions in the welcome message for setting up a password.

Step 2: Request Collection Loading

  1. Look up your organization's Registry ID on the WorldCat Registry or contact OCLC Support.
  2. Contact OCLC Support for your holding library code.
  3. Send OCLC Support the following message: "Please load my EBSCO collections. My OCLC symbol is [XXX]. My Registry ID is [XXX]. My holding library code is [XXX]."
  4. OCLC Support will load the EBSCO collections for your organization. During this process, do not de-select this collection within your OCLC WorldCat knowledge base or modify any titles within the collection. The process of loading the EBSCO collections could take 3-4 weeks.
  5. Check that your collection loaded in your Collection Manager account:
    1. Go to your institution's WorldShare URL.
    2. Enter your username and password.
    3. In your account, click on the Metadata tab and then click on Collection Manager.
    4. Either click on Activity History or search for your EBSCO collection in the search box. Check out our OCLC MARC Records [mp4 ; 6m ; no sound] video for how to double-check your collection has been loaded.

Step 3: Create Additional Staff Accounts (optional)

  1. Click on the Admin tab and then click on New User.
  2. Fill in the following fields:
    1. First/last name
    2. Address (Select Primary next to the Address Type)
    3. Phone number (Select Primary next to the Telephone Type)
    4. Email address (Select Primary next to the Email Type)
    5. User name
  3. Click Create.
  4. On the confirmation window, click OK.

Step 4: Customize Your MARC Records

  1. Select the Metadata tab, click on Collection Manager and then Institution Settings.
  2. Click on MARC Records.
  3. Click on Yes next to Enable MARC Records Delivery.
  4. Click on Customize Records tab.
  5. Select fields and subfields to add and delete.
  6. Optional: Choose to customize local data.
  7. Select the Record Delivery tab to choose Format (e.g., MARC 21 with MARC-8), Frequency (e.g., Monthly) and Subject Headings Identity Services (e.g., MeSH Authorities). Files will not be output immediately. Complete the settings in Step 6, under Institution Settings > Reports, to receive an emailed report when the MARC record file is ready.
  8. Click on Save.
  9. Records can be downloaded directly from your Collection Manager > Activity History.

Step 5: Configure Your Proxy Settings (optional)

  1. In your Collection Manager account, select the Metadata tab, click on Institution Settings and then click on Proxy and Authentication.
  2. Under the Proxy tab, select a Proxy Type and then a Base URL (for EZProxy) or a Hostname (for III WAM Proxy). Adding a Username/Password is optional.
  3. Click on Save.

Step 6: Set Up MARC Email Record Delivery (optional)

TIP: Download your MARC records directly from your OCLC Collection Manager under My Files > Downloads. You may need to un-check "Hide downloaded files". Check-out their guide here or contact OCLC Support directly for assistance!

  1. Select the Metadata tab, click on Collection Manager and then Institution Settings.
  2. Click on MARC Records.
  3. Click on Yes next to Enable MARC Records Delivery.
  4. Next, click on Reports (underneath MARC Records).
  5. Enter your 9-digit "admin" authorization code/number and select your desired report types. If you would like to receive emailed reports, click Yes next to Receive Email Reports and choose the Report Format and whether you would like to receive the report as an Email Attachment or Hyperlink.
  6. Click on Save.
